Why 7.30 isn’t seven and a half hours
Timecards show hours and minutes; payroll wants decimals. Seven hours thirty minutes is 7.5, but typing 7.30 gives 7.3 hours, or 7 hours 18 minutes. Over a crew and a season, that adds up to real money in either direction.
Overtime is counted by the week
On a two-week pay period, the calculator checks each workweek on its own, because overtime is owed for hours over 40 in a single week. More on biweekly payroll.
Common questions
How do I convert minutes to decimal hours for payroll?
Divide the minutes by 60. 45 minutes is 45 ÷ 60 = 0.75, so 7 hours 45 minutes is 7.75 hours.
What is 7 hours 30 minutes in decimal?
7.5 hours. Writing it as 7.30 would mean 7.3 hours, which is 7 hours 18 minutes.
How is overtime calculated on a biweekly timesheet?
Federal overtime is owed for hours over 40 in each workweek, not across the whole pay period. 50 hours in week one and 30 in week two is 10 hours of overtime, even though the total is 80.
Can I round employee time?
Federal rules allow rounding to the nearest 5, 6, or 15 minutes, as long as the rounding doesn’t consistently shortchange employees over time. Check your state’s rules too.
