A business phone system has one job: every customer call and text gets answered by whoever’s free, without anyone handing out a personal number. I’ve run my landscaping company’s calls on Google Voice and Quo, and dealt with Grasshopper.

What actually matters in a business phone system

    Shared numbers for the whole team

    Customers call one number and whoever’s free picks up or replies. The conversation history stays with the business, not someone’s personal phone.

    Customers text more than they call. Watch for caps: RingCentral’s Core plan includes 25 texts per user a month. Texting on any of these also needs carrier registration, about $19.50 up front.

1.Quo

From $15/user

I’ve used Quo for the past year and I’m moving the whole business onto it. It shows how the team is doing, like who’s responding and how fast, and its AI gives feedback on how we handle calls. Porting my number finished at the low end of the timeline Quo gave me, and support during the switch was excellent. It can cost a little more than Grasshopper for a small team, but the app, porting, and support are far better, and it handles heavy texting. Reliable phones are the foundation of a service business; the difference is worth it.

Best for
Teams that text customers a lot, share numbers, and want to see how fast they respond.
Watch out for
$15/user is billed yearly; month to month, Starter is $28 a user. AI call summaries and phone menus need Business ($23/user). Calls run over Wi-Fi or mobile data, so weak signal on a job site affects call quality.

We still run part of the business on Google Voice to save money while we finish moving to Quo. For a brand-new business, the free personal plan can get you started, but it’s meant for personal use and Google enforces that.

Best for
Solo owners and very small teams who need a separate business number on a tight budget.
Watch out for
Almost no analytics, and the iPhone app doesn’t let you add contacts. Business plans need Google Workspace too, so a user really costs $10/user plus Workspace from $7/user.

3.Grasshopper

It’s here for one reason: Solo Plus is one flat price for unlimited users on a single shared number, which can be the cheapest setup for a team that all answers the same line. Giving each person a number means Small Business plus $9 a month per extra number.

Teams that want one shared number and don’t need per-person lines.
Watch out for
My port to Grasshopper dragged on for months and was never approved. Support was poor, and we lost customers while our number was in limbo. If you’re moving an existing number, I’d pick something else.

Business texting needs registration first

US carriers only deliver business texts from numbers registered with The Campaign Registry (often called A2P 10DLC). Until your number is approved, texts can be filtered or blocked, so register as soon as you sign up.

Quo and Grasshopper both list the cost on their pricing pages: a one-time $19.50 plus a small monthly fee ($1.50 to $3). Approval can take anywhere from a few days to a few weeks.

  • Have your legal business name, EIN, and business address ready
  • Describe what you’ll text: appointment reminders, quotes, job updates
  • Keep calling customers as normal while texting is under review

Keeping your number when you switch

Moving your existing number to a new provider is called porting, and it’s where switches go wrong. My port to Quo finished at the low end of the timeline they gave me. My earlier attempt to port to Grasshopper dragged on for months, was never approved, and cost us customers who couldn’t reach us.

The new provider runs the port, but your current carrier has to release the number, so a mismatch in account details can stall it.

  • Don’t cancel your current phone service until the port is complete
  • Get your account number and port-out PIN from your current carrier
  • Make sure the name and address match your current carrier’s records exactly
  • Ask the new provider for an estimated timeline before you start

Common questions

How long does it take to port a business number?

Usually days to a couple of weeks, but it depends on your current carrier and the new provider. My Quo port finished at the low end of their estimate; a Grasshopper port I tried never went through. Keep your old service active until it’s done.

Can I cancel a business phone plan anytime?

Quo lets you cancel in the app; yearly plans are paid up front, so monthly billing costs more but is easier to leave. Grasshopper offers a 7-day money-back guarantee.

Is Google Voice free for business?

The free personal plan isn’t meant for business, and Google is cracking down on that use. Google Voice for business starts at $10/user and requires a Google Workspace plan on top.

Can I keep my existing business number?

Yes. Quo, Google Voice, Grasshopper, and RingCentral all let you port an existing number. Quo ports for free and walks you through it.

Do I need to register my business to send texts?

Yes. US carriers require business texting to be registered with The Campaign Registry. With Quo and Grasshopper that’s a one-time $19.50 fee plus a small monthly fee.

How much does a business phone system cost?
